Cancellation & Attendance Policy

This policy is designed to respect the time of our clients and clinicians and to ensure consistent access to care.


1. Appointment Scheduling

Appointments are reserved specifically for each client. Once scheduled, that time is set aside exclusively for your care.

We encourage clients to schedule appointments thoughtfully and to notify us as soon as possible if changes are needed.


2. Cancellation and Rescheduling Policy

We request that all cancellations or rescheduling requests be made at least 24 hours prior to the scheduled appointment date and time.

This advance notice allows us to offer the appointment time to another client who may be waiting for services.


3. Late Cancellations and Missed Appointments

Appointments that are canceled with less than 24 hours’ notice, as well as missed appointments (“no-shows”), limit our ability to provide care to others.

Accordingly, appointments that are canceled late or missed without notice may be charged at the full scheduled session rate.

These charges are the responsibility of the client and are not typically reimbursed by insurance providers.


4. Exceptional Circumstances

We understand that unexpected situations may arise. In cases of genuine emergency or unforeseen hardship, exceptions may be considered at our discretion.

Repeated late cancellations or missed appointments may result in changes to scheduling privileges or discontinuation of services.


5. Late Arrivals

If you arrive late to an appointment, your session may be shortened to avoid impacting subsequent clients.

The full session fee may still apply regardless of shortened session length.


6. Fees and Billing

Everwell Counseling Center is a self-pay practice. Payment is due at the time of service unless otherwise arranged in writing.

Late cancellation and no-show fees are considered part of the agreed-upon service arrangement.


7. Communication of Cancellations

Cancellations or rescheduling requests should be made through the communication methods provided by our office, including phone, secure messaging, or the client portal when available.

Messages received outside of business hours are considered received on the next business day.

By scheduling and attending services, you acknowledge that you have read, understood, and agree to this Cancellation & Attendance Policy.


Completion of a form does not create a therapist-client relationship. Your form may not be reviewed for 48 business hours and should not be utilized for outreach during a time of crisis.
